My client is an expert in delivering and planning events across all six continents. The company set up as a not-for-profit club to help connect likeminded members who all share the same passion… driving adventures! They organise amazing events that fit into different categories so no two experiences are ever the same. Due to the hard work and dedication the team have put into the company, they are now on the look out for an Events Coordinator to join the Leeds based team

They are currently recruiting for an Events Coordinator to join the team on a full time, permanent basis in their Leeds City Centre offices. The role is extremely varied, and no two days will ever be the same! In this role, you do not have to have experience working in events, we are just looking for someone who is highly organised and has a strong admin background.

 

The main responsibilities of an Events Coordinator are:

  • Working as a team to help plan and coordinate exciting events around the world.
  • Liaising and communicating with potential Members and customers
  • Keeping records up to date on the internal system
  • Sending out marketing materials to potential customers.
  • Handling all event entries and dealing with the paperwork and processes for each event
  • Providing and producing reports of current event entries and interest levels.
  • Liaising with the Finance team to track new entrants and new Members and confirming payments received.
  • Ordering essential event supplies for each event.
  • Coordinating research into and assisting with the purchasing of branded event gifts and awards.
  • Supporting the Chief Operating Officer to liaise with external team members for specific events.
  • Booking travel and accommodation for team members pre- and post-event.
  • Providing all relevant paperwork for each team member pre-event.
  • Collating all relevant on-event paperwork for HQ team.
  • Support in arranging Member social events where required, working to agreed budgets and timescales.
  • Scheduling board meetings and other ad hoc management meetings.
  • Confirming travel and accommodation arrangements for the Director & Chief Operating Officer when visiting HQ or travelling elsewhere on business.
  • Support on other ad hoc office tasks.
  • Support the Marketing and Event Manager to monitor and further develop the company Social Media channels.

 

Experience needed to be a successful Events Coordinator:

  • Strong knowledge and relevant experience of office administration
  • Strong knowledge of general Microsoft computer packages and the ability to learn new systems where needed.
  • Experience of using a database or customer record management system.
  • Excellent timekeeping and organisational skills.
  • Experience of working flexibly and adapting your approach to tasks and schedules.
  • Experience of resolving customer queries promptly.
  • Commitment to quality of work and its presentation. Can demonstrate consistent attention to detail and a high level of accuracy at all times.
  • Manages expectations and able to push back effectively where appropriate.
  • The ability to communicate effectively and confidently and develop good working relationships.
  • The ability to organise their own and others’ workload to prioritise and meet deadlines, whilst managing competing priorities.
  • Personal and professional demeanour and integrity that maintains the confidence and trust of others and demonstrates credibility.
  • Punctual, self-motivated, committed and enthusiastic.
  • Proactively anticipates problems and takes action to prevent them. Thinks about solutions when evaluating problems.
  • Resilient, not easily discouraged and willing to support change when required.

Hours: Full Time, Permanent – Monday to Friday 8:30 – 4:30
